This position is remote work and is open to anywhere in the world.
A global psychology focused startup company is looking for a Virtual Office Manager: A detail-orientated individual who helps our startup manage and maintain the best office environment on the planet. This role is an innovative technology driven position.
This position requires a skills test prior to interview to screen well qualified candidates
Job Functions
1) Oversee staff (4 persons and growing), and personally participate in the delivery of our <<Administrative Services>> which include:
-Client Services
Scheduling
Billing and payment coordination
-Staff services
Patient chart dictation
Beginning of day message
Note taking during meeting
Translations
Research of important topics
Setting up meetings
2) Assist president with corporate functions
-Deal with regulatory, legal, and compliance issues related to an international business
-Help in conjunction with outside legal counsel to ensure we are complying with all regulations.
3) Assist president with HR functions
-Coordinate with payroll servicing company to ensure all payroll is correctly setup
-Track vacation time
-Manage and approve employee schedule and time off requests
Please note we have a very flexible work schedule system which will require significant work to keep track of and make this function
4) Assist president with bookkeeping functions
-Help coordinate with outside accountant to ensure smooth running of accounts
-Prepare and manage simple reports
-Keep track of items related to employee bonuses
-Maintain a fun enjoyable work environment
-Be someone who everyone can come to help with issues
-Make sure working remotely still feels like a community
Mandatory skills and experience
– At least C1 level English proficiency
– At least C1 level Russian proficiency
– Superlative customer service skills
– Strong discipline with teamwork and organizational skills
– Experience with maintaining schedules
– Experience with managing employees
– Experience with google docs and sheets
– Experience with gmail
– Requires 5 Years experience of work
Recommended skills and experience
– At least B1 level Spanish proficiency high desired
– Knowledge of Udmurt, Korean, Mandarin, Arabic, and Portuguese language is beneficial
– Knowledge of Russian legal, accounting, and HR practices
– Prefer 7 years of work experience
Working conditions:
– Full time position, maximum 50 hours per week
– Payment for a full month of work: 2’500.000 – 3’500.000, depends on the experience
– Annual pay raises first two years
– Company profit share annual bonus
– Vacation: 4 calendar weeks per year plus 5 Holidays
– Remote work (Live and work anywhere in the world)
– Flexible hours
– 4 day work week
